The cost of manual

Tax season for a wealth management practice, by the numbers.

For most RIAs and family offices serving high-net-worth clients, January through April is a margin-destroying scramble of paper, PDF screenshots, and re-keyed data.

4hrs
Per complex client return
Multi-account households with K-1s from private investments routinely take half a workday to reconcile manually.
23%
Of returns contain entry errors
Industry benchmarks show roughly 1 in 4 manually-entered returns require correction before filing — each one a billable hour gone.
800+
Hours lost per RIA, per season
For a mid-size firm with 200 client households, manual entry alone consumes the equivalent of half a full-time hire.
That's $120,000 in billable advisor time spent typing numbers into TurboTax-grade software — instead of advising clients.
$120K
Annual cost of manual entry
How it works

Three steps from PDF to filed return.

ParseTax slots into your existing workflow. No replatforming, no new tax engine, no migration. We make Lacerte, UltraTax, ProSeries, and Drake faster — we don't replace them.

Step 01

Ingest from anywhere

Drop a folder of PDFs, sync directly with Schwab, Fidelity, or Pershing, or forward documents to a dedicated firm address. ParseTax accepts scanned images, multi-page PDFs, and password-protected files.

  • Custodian sync (Schwab, Fidelity, Pershing, LPL)
  • Bulk PDF upload
  • Email-to-parse address per client
Step 02

AI extracts & validates

Every field is extracted with a confidence score. Cross-document logic flags discrepancies (1099-B totals against Schedule D, K-1 distributions against capital accounts) before they hit your tax engine.

  • 140+ form types: 1099 series, K-1, W-2, 1098, Schedule B
  • Field-level confidence scoring
  • Cross-form reconciliation rules
Step 03

Push to your tax engine

One-click export to Lacerte, UltraTax CS, ProSeries, or Drake. Or download a structured JSON / CSV. Your preparer sees a populated return — not a stack of PDFs.

  • Native exports to Lacerte / UltraTax / ProSeries / Drake
  • JSON, CSV, IRS XML
  • Full audit trail per field
Run the numbers

What ParseTax saves your firm, in hours and dollars.

Drag the sliders. Numbers update live. Assumptions are conservative: $150/hr blended advisor rate, 4 hours saved per complex return, 30% of clients filing K-1s.

Trust & security

Built to the standard your compliance team already requires.

Wealth managers don't get to make trade-offs on data security. ParseTax is built for environments under SEC, FINRA, and IRS Publication 4557 obligations.

SOC 2 Type II

Audit in progress with a Big 4 partner. Letter of attestation available under NDA on request.

AES-256 at rest, TLS 1.3 in transit

Customer-managed encryption keys available on Enterprise. No model training on your data — ever.

US data residency

All processing and storage in US-East AWS regions. Document retention configurable from 24 hours to 7 years.

IRS Publication 4557

Compliant with the IRS's safeguard requirements for tax professionals. Full audit log of every parsed field.

Who it's for

Built for the firms that can't afford a botched tax season.

Independent RIAs

$100M – $5B AUM firms with in-house tax prep or close CPA partnerships. The sweet spot: 100–500 client households, growing faster than the back office can absorb.

Multi-Family Offices

Single- and multi-family offices managing complex partnership structures, K-1s from PE/VC funds, and multi-jurisdiction filings for ultra-high-net-worth families.

Tax-Forward CPAs

CPA firms whose growth is bottlenecked by paraprofessional headcount, not by client demand. Replace the data-entry layer; keep the advisor judgment layer.

Frequently asked

Questions we hear from compliance and ops.

Does ParseTax replace our tax software?

+
No. ParseTax is a layer in front of Lacerte, UltraTax CS, ProSeries, Drake, or whatever you already use. We turn unstructured documents into the structured data your tax engine expects — and we get out of the way. You keep your tax engine, your workflow, and your filings.

How does it handle K-1s from complex partnerships?

+
K-1s are where ParseTax earns its keep. We extract all relevant boxes (1–22), partner capital account analysis, footnotes, and supplemental schedules. For final K-1s with state-level allocations or §743(b) adjustments, every field comes with a confidence score and a link back to the source document for review.

Where does our client data live?

+
All documents and extracted data are stored in US-East AWS regions with AES-256 encryption at rest. Retention is configurable per-firm — from 24 hours (delete after export) to the IRS-recommended 7 years. Customer-managed encryption keys (BYOK via AWS KMS) are available on Enterprise plans.

What does it cost?

+
Annual licenses start at $2,000 for solo practitioners and scale by client household count. Volume pricing for firms above 250 households. We don't charge per-document or per-extraction — predictable cost regardless of how heavy your tax season gets. Book a demo for a quote tailored to your firm.

How long until we're live?

+
Most firms are parsing live client documents within 72 hours of signing. There's no installation — ParseTax is a web app with SSO support. The longest step is usually setting up custodian connections, which we handle alongside you.

Do you train AI models on our data?

+
No. Client documents are never used for model training. Our parsing models are pre-trained on synthetic and public IRS form templates; your data flows through inference only. This is contractually committed in our MSA, not just a policy statement.
